Getting started

What is VolunteerHub?

VolunteerHub is a simple website for churches and small organizations to create online volunteer sign-up sheets. You list the jobs and times you need help, share one link, and people sign up themselves — no group texts or paper sheets required.

Who is it for?

It’s built for churches, ministries, nonprofits, and small groups that need volunteers for events — dinners, festivals, Sunday roles, bake sales, and similar activities. The design is large, clear, and easy for people who aren’t tech-savvy.

How do I create an account?

Go to Create an account, enter your organization name, email, and a password. You’ll land in your dashboard, where you can make your first sign-up sheet in a few minutes.

Do volunteers need an account?

No. Volunteers open your shared link, fill in their name and contact info, check the times they can help, and tap “Sign me up.” Only organizers need an account.

Does it work on phones?

Yes. VolunteerHub works in any modern phone or computer browser. There’s nothing to install.

Sign-up sheets

How do I create a sign-up sheet?

From your dashboard, choose to create a new sheet. A short wizard asks for the event name, jobs you need help with, and a few options. After that you add times for each job, set how many people you need, and share the link.

Can I have more than one job or time?

Yes. One sheet can have many jobs (for example Greeter, Kitchen, Setup) and each job can have several time slots. Volunteers can check as many times as they can help in one go.

What happens when a slot is full?

When the last spot is taken, that time greys out and becomes unclickable so nobody else can sign up for it. You can raise the number of spots later if you need more help.

Can volunteers choose how long they can stay?

Yes. For each time they check, they can say how long they plan to help (based on the length of that shift) and how many people are coming with them.

Can I open or close a sheet?

Yes. From the sheet’s manage page you can close it so new sign-ups stop, or open it again later. You can also clear all sign-ups if you want to reuse the same sheet for a new date.

Can I add someone who signed up on paper or by phone?

Yes. Organizers can add volunteers manually from the manage page, so people who don’t use the link still show up on the same list.

Can I print or download the list?

Yes. You can open a print-friendly view and export your sign-ups as a table/spreadsheet. You can also sort names alphabetically or by activity order.

Sharing

How do people find my sign-up sheet?

Each sheet has its own shareable link. Put it in your bulletin, newsletter, email, or group chat. You can also download a QR code so people can scan it from a poster or program.

Can I put our church logo and colors on it?

Yes. In your settings you can upload a logo. Each sheet can also have its own cover image and color so the public sign-up page matches your event. The logo and cover image are separate — logo for branding, cover for the event look.

Emails

What emails do volunteers get?
  • Confirmation — right after they sign up, with their role, time, and a cancel link.
  • Reminder — the day before the event.
  • Follow-up — optional thank-you after the event, if you turn it on for that sheet.
Do volunteers have to give an email?

That’s up to you. For each sheet you can make email required, optional, or hidden. If email is hidden or blank, we won’t send confirmation or reminder messages for that person.

Can someone cancel after they signed up?

Yes. The confirmation email includes a cancel link for each time they signed up. When they cancel, that spot opens back up for someone else.

Account & privacy

I forgot my password. What do I do?

On the log in page, tap Forgot password?We’ll email you a secure link from VolunteerHub (via Supabase Auth) so you can choose a new password.

Is our volunteer information safe?

We take privacy seriously. Passwords are encrypted, data travels over secure connections, and each organization only sees its own sheets. We never sell your data. See our Privacy Policy and Security pages for details.

Do you use tracking cookies?

No advertising or tracking cookies. We only use what’s needed to keep organizers signed in. More detail is in our Cookie Notice.

Cost & support

Is VolunteerHub free?

Yes. Every organizer can create sheets, collect sign-ups, and send confirmation, reminder, and follow-up emails forever at no cost. We never turn off core features for non-payers.

How can I support VolunteerHub?

VolunteerHub only stays free because people support it. If it’s been useful for your church, you can support it for $5/mo billed yearly ($60/year). Read the full story on our Support page, or go straight to Settings. Supporting is always optional — core features stay free for everyone.
