Privacy Policy

Your trust matters to us. This policy explains what information we collect, why we collect it, and the choices you have. In plain English.

The short version

  • We only collect what we need to run your sign-up sheets.
  • We never sell your data or share it with advertisers.
  • Passwords are encrypted, and data travels over secure connections.
  • You can ask us to delete your information at any time.

Information we collect

Organizer accounts. When a church or organization creates an account, we collect the organization name, a contact email address, and a password (which we store only as an encrypted hash — never in plain text). Organizations may also upload a logo and cover image.

Volunteer sign-ups. When someone signs up on a sheet, we collect the information the organizer chose to ask for — typically a first and last name, a contact email or phone number, the number of people attending, the times selected, and answers to any custom question.

Basic technical data. Like most websites, our hosting providers log standard request information (such as IP address and browser type) to keep the service secure and reliable.

How we use information

  • To create and manage volunteer sign-up sheets.
  • To send sign-up confirmation, reminder, and follow-up emails.
  • To provide organizers with the lists and exports they create.
  • To secure the service and prevent abuse.

We do not use volunteer contact details for our own marketing, and we do not sell or rent personal information to anyone.

Who controls volunteer data

The organization that creates a sign-up sheet controls the volunteer information collected on it. VolunteerHub processes that information on the organization’s behalf. If you signed up for an activity and would like your information corrected or removed, please contact the organization directly, or email us and we will help.

Emails

We send transactional emails through our email provider (Resend): a confirmation when you sign up, a reminder before the event, and an optional follow-up afterward. These are tied to a specific activity you signed up for — they are not marketing newsletters.

Cookies

We use a single essential cookie to keep organizers signed in. We do not use advertising or third-party tracking cookies. See our Cookie Notice for details.

Data storage and security

Data is stored with our infrastructure providers (Supabase for the database and file storage, Vercel for hosting). Connections are encrypted in transit, passwords are hashed, and each organization’s data is isolated from every other account. Learn more on our Security page.

Data retention and deletion

We keep information for as long as an account is active or as needed to provide the service. Organizers can clear sign-ups or delete sheets at any time. To delete your entire account or request removal of your personal information, email support@volunteerhub.space.

Children

VolunteerHub is intended for use by organizations and adults. We do not knowingly collect personal information directly from children. If a parent or guardian signs up a minor for an activity, that information is handled the same way as any other sign-up.

Changes to this policy

We may update this policy from time to time. When we make meaningful changes, we will update the “Last updated” date at the top of this page.
